Confirm Which QuickMail Auto Warmer You Are Testing
QuickMail's current documentation draws a line that older reviews may miss. Its built-in Auto Warmer is available for email accounts purchased through QuickMail. The company separately documents Mailflow for inboxes not purchased through QuickMail. QuickMail's product page also says it replaced its former broad native warmer with a Mailflow integration, while its newer help material preserves the native path for purchased Gmail accounts.
Create the test manifest before connecting anything. Give every inbox a row with its provider, domain owner, mailbox owner, acquisition path, authentication state, warm-up path, start date, daily limit, reply setting, and pause authority. Do not combine a purchased QuickMail Gmail account and a separately owned Microsoft inbox into one result.
The built-in path is controlled from QuickMail's email-account view. The Mailflow path requires a Mailflow account and the same inbox to be present in both systems. The score then appears in QuickMail after Mailflow begins sending warm-up messages, according to the official Mailflow integration guide.
Prove Enrollment and First Activity
Use one test inbox from each provider and ownership path you intend to operate. For the built-in path, QuickMail says enrollment tests sending and receiving settings and checks MX, SPF, and DKIM before accepting an inbox into the group. It may take up to five hours for the first message after acceptance. A mailbox enabled during a QuickMail domain purchase may take up to 24 hours to begin.
For Mailflow, verify all of these events separately:
- The inbox is authenticated in Mailflow
- The identical address exists in QuickMail
- The inbox has joined the Mailflow warm-up group
- Warm-up traffic has started
- A score becomes visible in QuickMail
- Revoking access causes a visible failure
- Reauthentication restores activity and score updates
QuickMail warns that Mailflow activity may take up to 48 hours to start. A blank score inside that window is not automatically a failed integration. A blank score after documented traffic has begun is a failed test until the two systems can be reconciled.
Our view: the release gate is not a green badge. It is a traceable sequence from enrollment through the first sent message and first recorded outcome. If an operator cannot explain where a score came from, the score should not control campaign volume.
Measure the Ramp Instead of Assuming It
QuickMail documents the purchased-inbox warmer as increasing by three messages per day until it reaches a default maximum of five. Its subscription guide lists higher daily Mailflow warm-up allowances by plan: 30 per inbox on Starter, 40 on Growth, and 50 on Agency. Those numbers describe two different paths, not one universal QuickMail ramp.
Record the observed daily sends for at least a full working week. Compare them with the configured limit and note weekends, provider throttling, authentication interruptions, and delayed starts. The acceptance record should show whether volume rose predictably, stopped at the configured ceiling, and remained visible after a browser session ended.
Do not raise real campaign volume because warm-up traffic reached its cap. Campaign pacing has its own limits, list quality, bounce behavior, and reply pattern. Warm-up activity consumes mailbox activity but does not reproduce the audience or content of a cold campaign.
Test Provider Mix and Reply Behavior
A mixed estate needs a mixed test. Include the Google, Microsoft, or custom SMTP/IMAP route you plan to use rather than treating one successful Gmail inbox as proof for all providers. QuickMail's integration directory lists Gmail, Outlook, custom SMTP/IMAP, and other sending routes, while Mailflow setup documentation covers Google, Microsoft, and custom inboxes.
For each route, preserve one warm-up thread and confirm the sender, recipient, timestamps, archive behavior, and reply chain. QuickMail says its built-in warmer uses generated messages and can reply to warm-up emails, with an adjustable reply percentage. Change that percentage on a test inbox and verify the observed reply count follows the direction of the change. Do not manufacture an expected percentage that the documentation does not promise.
Also test inbox hygiene. Built-in warm-up messages should be archived automatically. If forwarding sends them to an address QuickMail cannot access, the company recommends a filter based on the configured imaginary company and product names. Verify that the filter catches only warm-up traffic.
Verify Spam Rescue and Reporting
The built-in warmer says it moves a warm-up message out of spam when detected. Create a controlled case where your mailbox and provider policies permit it, then capture the message before and after the action. A report that merely says "spam" does not prove the rescue occurred.
QuickMail's built-in report lists how many warm-up messages were sent and how many landed in spam. Mailflow supplies the underlying activity for the score shown in QuickMail. Keep these as separate evidence fields:
- Warm-up messages sent
- Warm-up messages reported in spam
- Observed rescue action
- QuickMail or Mailflow score
- Independent seed placement by provider
- Real campaign delivery, bounce, reply, and complaint outcomes
The sixth field takes longer to establish and carries more commercial weight. QuickMail's own help article states that Auto Warmer does not guarantee inbox delivery. That boundary belongs in the approval record.
Test Pause and Recovery Controls
The native warmer can be stopped by leaving the group from the inbox's Auto Warmer tab. QuickMail notes that there is not yet a bulk leave action. Test one inbox and confirm new warm-up sends stop without deleting the mailbox or changing unrelated campaign settings.
For Mailflow, revoke and restore access on a test account. The integration guide says a provider security check, account-setting change, or revoked app access can stop traffic until the inbox is reauthenticated. The operator must be able to identify that state without assuming the sender reputation suddenly collapsed.
Pair the warm-up stop test with QuickMail's campaign controls. Its inbox rotation documentation allows an inbox to be toggled off a campaign, but follow-ups already assigned to that inbox can remain tied to it unless the assignment is reset. A warm-up pause and a campaign pause are different actions. Document who owns each one.
Make the Acceptance Decision
Pass the feature only when every intended mailbox path enrolls, begins activity within its documented window, ramps predictably, records replies, exposes spam outcomes, refreshes its score, survives a reauthentication test, and stops on command. Hold any inbox with unexplained score movement or activity that cannot be matched to messages.
