Domain Reputation: Repair, Rest, or Retire

When domain reputation degrades, choose whether to repair it under controls, rest it temporarily or retire it only after preserving the evidence window. Repair when the cause is bounded and a limited retest is safe. Rest when active sending would contaminate delayed or conflicting evidence. Retire when abuse or loss of control makes further use unacceptable. Repeated failed tests and unacceptable business exposure also support retirement. Do not retire a production domain from one noisy signal, and do not continue sending while the cause remains unexplained.
Preserve the Evidence Window First
Freeze material changes long enough to capture what happened. Save the relevant provider reputation views, delivery errors, authentication results, complaint evidence, sending sources, volume changes, campaign changes, provider or IP changes, blocklist observations, and incident timestamps. Record each source's time zone and reporting delay.
Google's Postmaster Tools dashboard documentation says its Domain Reputation view reports Google's quality rating for domains sending to personal Gmail accounts. Google also says dashboard data is not real time, is typically updated within 24 hours but can take longer, and may omit low-volume days for privacy. Some views include only DKIM-authenticated mail.
A blank day is missing evidence, not a clean result. One favorable day is not proof of recovery. Preserve screenshots or exports with the collection time so later reviewers know what was visible when the decision was made.
Rule Out a False Domain Diagnosis
Before assigning the incident to the domain, separate the sending paths. Ask whether the pattern belongs to one mailbox, one sending platform, one recipient segment, a DNS change, an authentication failure, or a shared IP.
Google's email sender guidelines state that frequent user spam reports can lower a domain's reputation. They also explain that senders sharing an IP affect the reputation of other senders on that IP. A shared-IP problem should not be mislabeled as domain-only damage merely because both appear near the same time.
Check other provider evidence and your own delivery records without merging them into one invented score. A domain reputation assessment is provider-specific. It does not reveal where every individual message landed.

Choose Controlled Repair When the Cause Is Bounded
Use controlled repair when the harmful source or behavior has been isolated, corrective action is under the owner's control, and a limited test will not expose the wider program. Document what changed, what stayed fixed, which cohort will receive the test, and which signal stops it.
Authentication belongs in the diagnosis, but a pass is not recovery evidence. RFC 7489 states that DMARC does not provide elevated delivery privilege for authenticated email. Passing DMARC can show that an identity path works as intended. It cannot prove favorable reputation or inbox placement.
Use Rest for Delayed or Confounded Evidence
Choose temporary rest when continued traffic would blur the evidence window, provider data has not caught up, or several causes remain plausible. Set the next review time and name the evidence needed to leave rest.
Rest is not a cure. Inactivity does not demonstrate that recipients, providers, or security systems now assess the domain differently. It only limits new exposure while the team waits for cleaner evidence or completes an investigation.
Retire When Further Use Is Not Defensible
Retirement becomes the stronger choice when the identity has been abused or compromised or unauthorized sending paths cannot be removed. It also fits when the cause cannot be isolated, controlled tests repeatedly hit their stop conditions, or the domain's business dependency makes another test unacceptable. These are decision factors, not universal thresholds.
Retirement still requires governance. Preserve suppression records, event history, DNS and account ownership records, incident evidence, and the approval reason. Remove sending authorization from connected tools, close unauthorized routes, and document which systems must stop using the domain.
