Brevo Alternatives: Choose by the Broken Requirement

Summarize with AI

The right Brevo alternative depends on the requirement that forced the search. Mailchimp is the campaign-first candidate, Postmark is the application-email candidate, Mailgun is the managed email-API candidate, and Amazon SES is the infrastructure-first candidate. These are not interchangeable substitutes. Choose the category first, then test the vendor against the workload and exit conditions that Brevo did not satisfy.

Name the requirement that broke

A replacement project needs a failure statement, not a vendor list. Write one sentence that identifies the operating constraint and the evidence behind it. Examples include a campaign workflow that cannot express the required approval, a CRM update that does not write back, a support path that cannot meet the incident requirement or a price curve that changes unfavourably at forecast volume.

The statement should be narrow enough to test. "We need more flexibility" cannot guide a trial. "A reply must update the contact owner and stop the next message within five minutes" can.

Our view: a Brevo migration is justified when the failed requirement is material, repeatable and better solved by another product category. Moving because another pricing card looks lower usually transfers the same workload into a less familiar interface.

Use a category shortlist, not a universal ranking

The alternatives below solve different primary jobs. Their official pages support the stated capabilities, but the fit column is an editorial decision rule rather than a vendor claim.

CandidateOfficial product positionShortlist whenDo not assume
MailchimpMarketing plans built around contacts and email sendsCampaign creation and audience marketing are the main jobThat contact-based pricing will beat send-based pricing at your database size
PostmarkTransactional and broadcast application email through separate streamsDelivery evidence, API use and traffic separation matterThat it replaces a full marketing campaign suite
MailgunEmail API and SMTP service with validation, webhooks and tiered retentionA managed developer-facing sending layer is requiredThat its included retention matches your reply or audit cycle
Amazon SESUsage-based email infrastructure with optional deliverability and IP servicesThe team can operate the surrounding tooling and wants infrastructure controlThat the low send rate includes campaign production, list operations or support labour

This table should reduce the list, not make the decision. Each surviving candidate still needs an acceptable-use check, a controlled send and a total-cost model.

Choose Mailchimp for campaign production

The Mailchimp marketing pricing page presents marketing tiers by contact allowance and monthly send allowance. Its plan page emphasises campaign creation, automation, audience management and reporting rather than a raw transactional transport layer.

Shortlist Mailchimp when the broken requirement sits inside campaign production: more mature audience workflows, a marketing team's editing process or an ecosystem built around conventional email marketing. Model the same contact count and send frequency used in Brevo. Brevo prices its main plans around email volume, while Mailchimp's selected contact tier affects the purchase, so comparing the smallest displayed cards is not meaningful.

A controlled trial should import a representative segment, recreate one approval-heavy campaign and test the unsubscribe route. Record the labour required to produce, review and launch it. That measured workflow matters more than the number of templates in a feature list.

Choose Postmark for application email

The Postmark pricing page currently starts paid plans at 10,000 emails per month and includes 45 days of message retention. Pro and Platform support custom retention as an add-on, and Postmark publishes overage rates by plan.

Postmark's Message Streams page says transactional and broadcast traffic use separate sending infrastructure and IP ranges. It defines transactional messages as one-recipient messages triggered by user activity and broadcast messages as messages sent to many recipients, such as product updates.

Shortlist Postmark when Brevo's combined platform is broader than the job and the real requirement is dependable application email with message-level evidence. Do not shortlist it as a like-for-like marketing suite. Postmark explicitly says it is built for application email and does not offer some conventional campaign features such as list uploads, a visual campaign editor and campaign-based reporting.

Test both a transactional stream and any eligible broadcast stream. Confirm templates, webhook events, suppression handling and retention. Keep promotional prospecting outside the test unless Postmark approves that exact traffic in writing.

Choose Mailgun for a managed email API

The Mailgun pricing page publishes plans for API and SMTP sending, with plan differences around retention, validations, support and dedicated IP access. Its entry plans and included allowances can change, so use the live selector and preserve the selected volume in the approval record.

Mailgun belongs on the shortlist when the team needs an API-oriented sending service but does not want to assemble the full operational layer around a raw cloud service. Its official plan structure lets buyers evaluate event webhooks, validation and dedicated IPs together.

The binding test is retention. The live pricing comparison should be checked against the length of the team's reply and incident cycle. Stream events into a controlled store during the trial and then answer a named-recipient question after the platform's shortest relevant retention window. This turns a feature label into operational evidence.

Choose Amazon SES for infrastructure control

The Amazon SES pricing page offers usage-based sending and receiving, as well as packaged plans and separately priced services. Its current à-la-carte table lists outbound email at $0.10 per 1,000 emails, plus attachment data charges, while dedicated IPs and deliverability tools have their own prices.

That rate is not the cost of a finished marketing operation. SES does not become a campaign editor, CRM handoff, approval process or suppression governance system because the transport line is inexpensive. Shortlist it when the team is prepared to build or buy those surrounding functions and operate AWS permissions, monitoring and event storage.

Compare total ownership cost:

SES transport + data transfer + IP services + monitoring + engineering + campaign tooling + support

Use the same formula for every candidate, replacing each line with included, separately purchased or internal labour. Do not value internal labour at zero merely because it does not appear on a vendor invoice.

Preserve suppression and reputation during migration

Export suppression records before templates. Unsubscribes, complaints and hard bounces must remain blocked after the platform changes. Compare the export row count with the source interface, import it into the replacement and test a known suppressed address before any production send.

Keep the authenticated sending domain constant where the traffic strategy allows it. Publish and verify the replacement's DNS records before cutting volume across. If a new dedicated IP is introduced, write a gradual ramp schedule and assign an owner.

Run the old and new services in parallel for a controlled slice of traffic. Compare accepted, delivered, bounced and complaint events on equivalent messages. Keep the old account active until the replacement has produced usable evidence and all required exports have been checked.

Choose the smaller, testable change

A replacement earns approval when it fixes the documented failure, accepts the traffic in writing and preserves suppression records and delivery evidence through the cut-over. Compare the final candidates on that migration test, not on the length of their feature lists. The smaller change is usually the one that leaves working parts of the current operation alone.

Frequently Asked Questions

A modern outbound stack includes: data enrichment (Apollo, Clay, ZoomInfo), email infrastructure (Google Workspace, custom domains), sending tools (Smartlead, Instantly), warm-up services (Warmbox), LinkedIn automation (Expandi, Dripify), CRM integration (HubSpot, Salesforce), and analytics platforms. Most agencies use 15–30 tools orchestrated together.

Building your own stack costs $3K–5K/month in software alone, plus a dedicated person to manage it. With a managed service, you get all the tooling plus the expertise to orchestrate it, often at lower total cost. The key question: can you afford to spend 6–8 weeks setting up instead of generating pipeline?

There's no single 'best' tool. It depends on your volume, budget, and integration needs. Smartlead and Instantly are popular for high-volume sending. Apollo doubles as a data and sequencing platform. The real advantage comes from how tools are orchestrated together, not from any single tool choice.

Look for three things: (1) Do you own the infrastructure they build? (2) Are the engagement terms clear, including what happens after the initial build-and-learn period? (3) Can you see transparent metrics and real case studies with specific numbers? LeadHaste starts with a three-month engagement, then moves month-to-month. Avoid vague reporting and providers that own your domains.

Data enrichment is the process of taking basic company or contact data and adding layers of detail: job titles, direct emails, phone numbers, technographics, intent signals, company size, funding stage, and more. Enrichment tools like Apollo, Clay, and ZoomInfo pull from multiple data sources to build a complete prospect profile before outreach begins.
