How HelpMatch generates 2,000+ buyer
conversations every month with cold email
HelpMatch connects local healthcare providers — dentists, chiropractors, therapists, clinics — with pre-qualified patient leads. We built the outbound system that made it scale.
1
Context
HelpMatch helps local healthcare providers get more patient leads by connecting them with people actively searching for their services. The target group: dentists, chiropractors, mental health professionals, and other local practitioners.
This playbook breaks down the email campaign strategy that produced consistent 20–30% reply rates and over 70% positive replies — with thousands of inbound responses each month. We'll look at the initial campaign (and why it failed), the pivot and reasoning behind each change, the final sequence and personalization logic, and how we handled replies and follow-ups.
2
The First Campaign (What Failed)
Here's the very first email we sent:
Subject Line
Quick question about patients in {{city}}
Why It Failed
This version leaned too hard on data and logic — not emotion or outcomes. It mentioned dentist ratios and competition numbers, but that's not what busy clinic owners care about. They care about getting more patients and filling their calendars. It also took extra effort to source and format all that data, which didn't pay off. Result: almost no replies. We were speaking at them, not to them.
3
The Second Campaign (A Step Forward)
The next version was more conversational and benefit-driven. We simplified everything. We stopped trying to prove expertise and started writing like a human.
Subject Line
accepting patients?
Better, But Not There Yet
This one talked to them instead of about data. It hit a clear pain (empty chairs, low booking rates) and removed key objections (no contracts, not an agency). Replies improved significantly — but we wanted more.
4
The Winning Approach
After about 10 iterations, we landed on a version that looked almost too simple:
Why It Worked
Personalized opener — pulled from their actual website.
Direct question — “Are you currently accepting new clients for…”
No pitch, no fluff — just a light, human ask.
Relevant services — we picked their top 2–3 most profitable ones using Claygent with a knowledgebase. For example, Invisalign or teeth whitening for dentists — high margin, low time investment.

Personalization & Automation Stack
We scraped and built lists from Google Maps, filtered by relevance, and enriched them using a multi-tool pipeline:
Google Maps
List building & phone number scraping
Verified business info & websites
Services, reviews & contact extraction
Reliable website scraping
Backup scraping & anti-bot bypass
Email waterfall — 1st pass
Email waterfall — 2nd pass
Email waterfall — 3rd pass
Email waterfall — 4th pass
1st-line personalization & service mapping
Sending platform & sequence management
CRM & deal pipeline tracking
We verified domains, scraped phone numbers from Google Maps listings, and used Claygent for first-line personalization — making every email feel hand-written at scale.
6
Reply Handling
Once a positive reply came in, speed was everything. Within 3 minutes, we automatically replied:
The phone number was scraped and verified beforehand, allowing for immediate handoff. That fast response time turned curiosity into conversations — and those into new patient leads.
7
Follow-Up Sequencing
The sequence had 7 follow-ups — unusually long, but effective. We kept adding steps as long as each follow-up maintained a 1%+ reply rate and the positive reply ratio stayed healthy.
Every follow-up was short, conversational, and always offered context from the previous message. This ensured high engagement throughout the entire thread.
Personalized opener + direct question about accepting patients
Light check-in — “are you currently not accepting new clients?”
Context-setting — introduces HelpMatch, removes “marketing agency” objection
Offers 5-minute call or email overview — gives them a choice of engagement level
Graceful exit — asks for the right person on the team, P.S. opt-out
Promise follow-through — “keeping my promise to touch base”
Last contact — final ask for the right person, offers to keep them updated

Lessons Learned
Don’t overeducate in cold email. Talk to pain, not data.
Personalization only matters if it feels natural.
Short, conversational messages outperform “perfect” copy.
The first goal isn’t to sell — it’s to start a conversation.
Scale only works if reply handling is fast and human.
This campaign proves you can reach massive reply rates without complex funnels, flashy templates, or fake personalization.
A clear offer, human tone, and quick handoff system beat every “best practice” we'd used before.
