Context

HelpMatch helps local healthcare providers get more patient leads by connecting them with people actively searching for their services. The target group: dentists, chiropractors, mental health professionals, and other local practitioners.

This playbook breaks down the email campaign strategy that produced consistent 20–30% reply rates and over 70% positive replies — with thousands of inbound responses each month. The First Campaign (What Failed)

Here's the very first email we sent:

Why It Failed

This version leaned too hard on data and logic — not emotion or outcomes. It mentioned dentist ratios and competition numbers, but that's not what busy clinic owners care about. They care about getting more patients and filling their calendars. It also took extra effort to source and format all that data, which didn't pay off. Result: almost no replies. We were speaking at them, not to them.

The Second Campaign (A Step Forward)

The next version was more conversational and benefit-driven. We simplified everything. We stopped trying to prove expertise and started writing like a human.

Better, But Not There Yet

This one talked to them instead of about data. It hit a clear pain (empty chairs, low booking rates) and removed key objections (no contracts, not an agency). Replies improved significantly — but we wanted more.

The Winning Approach

After about 10 iterations, we landed on a version that looked almost too simple:

Why It Worked

Personalized opener — pulled from their actual website.

Direct question — “Are you currently accepting new clients for…”

No pitch, no fluff — just a light, human ask.

Relevant services — we picked their top 2–3 most profitable ones using Claygent with a knowledgebase. For example, Invisalign or teeth whitening for dentists — high margin, low time investment.

We verified domains, scraped phone numbers from Google Maps listings, and used Claygent for first-line personalization — making every email feel hand-written at scale.

Reply Handling

Once a positive reply came in, speed was everything. Within 3 minutes, we automatically replied:

Follow-Up Sequencing
