Capsule CRM Pricing: Plan Limits and Per-User Cost

Summarize with AI

Capsule CRM pricing starts with a free plan for up to two users. Paid USD plans begin at $18 per user monthly on annual billing or $22 on monthly billing. Growth is the practical entry point for teams that need Capsule's native Workflow Automation, more than one sales pipeline, or more than one project board. Calculate the subscription by paid users, then check the account-wide contact, pipeline, and project limits before choosing a tier.

Capsule CRM pricing by plan

Capsule labels its paid prices per user, per month. The annual-billing figures below are monthly equivalents, billed annually. Capsule does not publish an annual invoice total on the pricing page, so the table keeps the vendor's displayed unit.

PlanMonthly billingAnnual-billing rateContacts per accountSales pipelinesNative Workflow Automation
Free$0$02501No
Starter$22/user/month$18/user/month30,0001No
Growth$40/user/month$36/user/month60,0005Yes
Advanced$60/user/month$54/user/month120,00050Yes
UltimateQuote requiredQuote required240,000100Yes

The contact figures are total contacts per plan, rather than an allowance for each user. Adding a fifth Starter user increases the subscription, for example, while the workspace still has a 30,000-contact ceiling.

Ultimate is presented as suitable for scaling teams with five or more users, but Capsule does not publicly state that five seats are a contractual minimum. Ask sales to put the required seat count and per-user price in the quote.

A per-user Capsule CRM cost worksheet

Use this worksheet to compare the three paid plans with public USD prices. Each amount is the base CRM subscription before taxes and any Marketing add-on. The annual column shows the monthly equivalent of an annual commitment, not the amount charged each month.

UsersStarter annual rateStarter monthlyGrowth annual rateGrowth monthlyAdvanced annual rateAdvanced monthly
1$18$22$36$40$54$60
3$54$66$108$120$162$180
5$90$110$180$200$270$300
10$180$220$360$400$540$600

For another team size, multiply the displayed per-user rate by the number of paid users. A seven-user Growth workspace is therefore $252 per month as an annual-billing equivalent or $280 with monthly billing. That calculation covers the base plan only.

A ten-user Growth account still has 60,000 contacts and five sales pipelines. A growing database can therefore force an upgrade even when headcount stays flat.

Contact and pipeline limits can decide the plan

Starter gives one sales pipeline. Growth raises the account to five, Advanced to 50, and Ultimate to 100, according to Capsule's pipeline limits. A company that separates new business, renewals, partnerships, or different service lines may outgrow Starter before it reaches 30,000 contacts.

Project-board limits follow a similar progression on the middle tiers: Starter has one, Growth has five, and Advanced has 50. Capsule's current pricing comparison and its detailed support table conflict on the endpoints. One says Free has zero boards and Ultimate has 100, while the support material says Free has one and Ultimate has unlimited boards. Confirm those two limits in writing if either affects the purchase.

A clean plan decision starts with three account totals:

  1. Count every person who needs a paid login.
  2. Count contacts after removing duplicates and records that should not be migrated.
  3. Map the distinct sales pipelines and project boards the team will actually operate.

Use the first limit reached as the upgrade trigger. This keeps the team from buying Advanced solely for a large contact ceiling when Growth already covers its workflow and pipeline structure.

Growth is the first native workflow automation plan

Capsule's Workflow Automation documentation places the native feature on Growth, Advanced, and Ultimate. Free and Starter do not include that entitlement.

A Capsule automation can react to an opportunity milestone, a Won or Lost status, a project stage, or a closed project. Supported actions include assigning a user or team, adding a Track, creating a linked project, sending a template email through a connected mailbox, and creating another opportunity or project after closure.

Only Capsule administrators can create or update these automations, and the rules operate across the account. Capsule does not publish a numerical limit for active automations, actions, or runs. If the buying case depends on high-volume automation, request written limits and test representative rules during the trial.

Tracks require separate treatment. Capsule describes them as task sequences and lists unlimited Tracks across plans. Free and Starter can also connect to Zapier, so lacking native Workflow Automation does not mean every automated process is unavailable. It means the team must evaluate a different mechanism, its permissions, and any separate cost.

Trial and billing terms change the first invoice

New paid-plan signups advertise a 14-day free trial with no card required. Capsule says trial users can access the selected plan's features, connect integrations, and add users for evaluation.

An existing Free account follows a different rule. Capsule's Customer Terms say a Free-to-paid upgrade has no trial period and the first month is charged immediately. Teams already using Free should avoid assuming that an upgrade starts another 14-day evaluation.

Paid billing occurs monthly or annually in advance and renews automatically until canceled. Public prices exclude applicable taxes. Capsule's pricing FAQ says there are no setup fees and onboarding costs nothing, but any services or commercial commitments added to a negotiated order should still be itemized.

Add the marketing product separately

Capsule advertises a Marketing add-on starting at $11 per month in its US pricing state. The vendor identifies Transpond as its owned email-marketing suite, covering email campaigns, webforms, analytics, and marketing automations.

The public page does not provide a complete USD tier table, contact allowance, usage schedule, annual rate, or plan dependency for this add-on. Treat $11 as a starting point, not a complete marketing budget. Ask for the recurring amount at your contact volume and selected Capsule plan.

During source verification, the Europe pricing state showed euro-denominated CRM plans while the Marketing add-on appeared in pounds. Select the intended billing region and currency before copying any figure into an approval document.

Choose the tier from the limiting requirement

Free fits a two-user team that can stay within 250 contacts and one pipeline. Starter fits teams that need paid capacity but can work with one pipeline and without Capsule's native Workflow Automation. Growth becomes the stronger baseline when automation or multiple pipelines matter. Advanced mainly expands account capacity, while Ultimate needs a written quote.

Frequently Asked Questions

A modern outbound stack includes: data enrichment (Apollo, Clay, ZoomInfo), email infrastructure (Google Workspace, custom domains), sending tools (Smartlead, Instantly), warm-up services (Warmbox), LinkedIn automation (Expandi, Dripify), CRM integration (HubSpot, Salesforce), and analytics platforms. Most agencies use 15–30 tools orchestrated together.

Building your own stack costs $3K–5K/month in software alone, plus a dedicated person to manage it. With a managed service, you get all the tooling plus the expertise to orchestrate it, often at lower total cost. The key question: can you afford to spend 6–8 weeks setting up instead of generating pipeline?

There's no single 'best' tool. It depends on your volume, budget, and integration needs. Smartlead and Instantly are popular for high-volume sending. Apollo doubles as a data and sequencing platform. The real advantage comes from how tools are orchestrated together, not from any single tool choice.

Look for three things: (1) Do you own the infrastructure they build? (2) Are the engagement terms clear, including what happens after the initial build-and-learn period? (3) Can you see transparent metrics and real case studies with specific numbers? LeadHaste starts with a three-month engagement, then moves month-to-month. Avoid vague reporting and providers that own your domains.

Data enrichment is the process of taking basic company or contact data and adding layers of detail: job titles, direct emails, phone numbers, technographics, intent signals, company size, funding stage, and more. Enrichment tools like Apollo, Clay, and ZoomInfo pull from multiple data sources to build a complete prospect profile before outreach begins.
